PODINN Terms and Conditions

1. Introduction

These Terms and Conditions (“Terms”) constitute a legally binding agreement between you and podinn.co.za. They govern your use of our websites, applications, and other services. In these Terms, “podinn,” “we,” and “us” refer to Podinn (Pty) Ltd (registered in South Africa with company number [INSERT COMPANY NUMBER HERE]), whose registered office is at [INSERT YOUR SA REGISTERED OFFICE ADDRESS HERE]. “You” refers to the individual making the booking and, if different, the person for whom the booking is made. “Guests” are all individuals for whom a booking is made. Each pod escape listed on our website is referred to as a “Listing.”

2. Our Service

We offer a digital detox experience in off-grid pods located in the South African countryside, typically within a few hours’ drive of a major city. The standard stay is three nights unless otherwise agreed. Our pods are self-contained and equipped with a bathroom, kitchenette, and sleeping area, and are suitable for solo travelers or up to two guests.

3. Interpretation

3.1 Headings are for convenience only and do not affect the interpretation of these Terms.

3.2 Words in the singular include the plural and vice versa.

4. Booking

By making a booking, you agree to pay the total cost for the stay and any additional items (“Add-ons”) selected during checkout (collectively, the “Total”). A binding contract (“Booking”) is formed between you and podinn upon receipt of your booking confirmation. You are responsible for adhering to all Booking terms, including the cancellation policy and any other rules or requirements specified in the Listing or during checkout. Please read and understand these terms before completing your booking.

5. Arrival and Departure

5.1 Check-in is from 3:00 PM on your arrival day, and check-out is by 10:00 AM on your departure day, unless otherwise specified.

5.2 Upon departure, you must leave the pod and the surrounding area clean and tidy. All waste and recycling must be disposed of responsibly. We reserve the right to charge for additional cleaning or repairs if the pod is left in an unacceptable condition. Such charges will be based on an hourly rate of R500, depending on the extent of cleaning, laundry, or repair required. These fees are due within 30 days of your check-out date.

5.3 If any items are found to be missing from the pod during our check-out inspection, we will charge you the full replacement value. Payment is required within 30 days, or the items must be returned to us.

5.4 If you leave a personal item behind, we can arrange to have it returned to your postal address. A fixed fee of R350 will be charged for items up to 10 kg. Heavier items will incur an additional charge. This fee covers postage and the time and effort of our local team. We will use a delivery service with tracking and/or a signature upon delivery and provide tracking information where available. podinn and our local teams are not responsible for any damage to or loss of personal items, whether at the pod or in transit. Items are returned only on the acceptance of these terms.

6. Restrictions and Responsibilities

6.1 Smoking is strictly prohibited inside the pods.

6.2 You are responsible for any damage or loss caused by yourself or a member of your party. You must pay podinn in full for any such damage or loss. Failure to do so will make you liable for any claims that arise as a result of your actions, including all legal costs.

6.3 Open flames are not allowed inside the pods, except in the designated fireplace using the materials we provide. This includes, but is not limited to, candles, incense, lanterns, or any other flame source.

6.4 Commercial photography and filming on the property require our prior written consent. Any content captured during permitted activities may not be publicly distributed without our permission and must include proper credit to podinn. This includes accurate tagging on social media platforms or a link to podinn.co.za.

6.5 Drone use is forbidden without our prior consent due to private land restrictions and the potential to disturb nature and livestock.

7. Cancellations and Amendments

Guest Cancellations and Amendments

7.1 You must contact us using the details in your booking confirmation to cancel or amend a booking.

7.2 Our cancellation policy requires a minimum of 28 days’ notice before your scheduled arrival. Cancellations made more than 28 days in advance can be rescheduled for a future available date, receive a full refund, or be issued a voucher for a future stay. Refunds may take up to 10 business days and will be returned to your original payment method.

7.3 Cancellations made between 14 and 28 days before arrival allow you to move your stay to a future date or receive a voucher for the value you have paid.

7.4 Cancellations made within 14 days of arrival will be charged 100% of the total booking value.

7.5 For bookings made within 14 days of arrival, you have a 48-hour cooling-off period from the time of booking to reschedule for free or receive a full refund.

7.6 If you wish to amend your booking date, you must notify us at least 28 days before your scheduled arrival. Rescheduled stays are non-refundable.

podinn Cancellations and Amendments

7.7 In the unlikely event that we are unable to accommodate a confirmed reservation, we may offer a suitable alternative. If we must make significant changes or cancel your stay, we will inform you as soon as possible and offer an alternative or a full refund. This does not apply to minor changes or events beyond our control.

7.8 We are not responsible for cancellations resulting from your failure to comply with our Booking Terms and Conditions, and we will not be liable for any expenses or losses you incur as a result.

7.9 If you or a member of your party behaves in a way that poses a danger or causes distress to a third party, podinn staff, wildlife, or property, we are entitled to end your stay immediately without prior notice. No refunds or expenses will be paid as a result of such curtailment.

8. Circumstances Beyond Our Control

8.1 We cannot be held responsible for unforeseen circumstances beyond our control. This includes, but is not limited to, severe weather, fire, civil unrest, war, terrorism, industrial disputes, natural disasters, or accidental injury or death of an individual not connected to podinn.

9. Additional Requests

9.1 All additional or special requests are subject to availability and cannot be guaranteed. Requests should be made with reasonable advance notice before your arrival.

9.2 The number of guests permitted to use the pod is limited to the number agreed upon during booking. If additional guests use the property, podinn reserves the right to impose a charge.

9.3 No additional visitors are allowed on the property, even during the day, without our explicit written consent.

9.4 If agreed, please be aware that charges may apply for additional visitors.

10. Insurance

10.1 It is your responsibility to ensure that your insurance coverage is adequate for your needs and the duration of your stay.

10.2 We recommend purchasing travel insurance to cover your stay.

11. Liability and Indemnity

11.1 Our liability is limited to the services booked via the podinn website and is in accordance with the Booking Terms and Conditions in effect at the time of booking. We accept no other form of liability.

11.2 You agree to compensate us for all damages, costs, claims, and expenses arising from any loss or damage to our equipment (or that of third parties) caused by you or your agents.

11.3 Nothing in these Terms limits or excludes our liability for death or personal injury caused by our negligence, or for any fraudulent misrepresentation, or for any other matter for which it would be unlawful to limit or exclude liability.

12. Third-Party Websites and Viruses

12.1 We are not responsible for the accuracy, content, or availability of information about our pods found on third-party websites. We are also not responsible for the content or privacy policies of any third-party websites linked to or from our site. Any attempt to interfere with the operation of our website, or to place an unreasonable load on our server infrastructure, is prohibited. In the event of a website failure due to viruses, bugs, fraud, or other causes beyond our control, we reserve the right to suspend or terminate access to the site at our sole discretion.

No part of this site may be reproduced, sold, distributed for commercial gain, or incorporated into any other work, publication, or site without our prior written consent. All logos, trademarks, and trade names are proprietary to podinn and may not be used for any purpose without our express written consent. The use of any automated device or manual process to track or copy the site or its content without our consent is illegal, with the exception of major search engines. The use of any material from the podinn website on any other digital platform is strictly prohibited. Information on our site is for your reference only.

14. Privacy and Electronic Mailing

14.1 We operate an opt-in email policy. By contacting us or making a booking, you consent to receive communications from podinn regarding your booking. At the time of booking, you will have the option to opt in to our marketing mailing list. You can unsubscribe at any time using the link or email address provided in our emails. Alternatively, you can unsubscribe by emailing: hello@podinn.co.za.

15. General Data Protection Regulations (GDPR)

15.1 When providing our services, we may access, transfer, store, or process personal data.

15.2 For such processing, you will be the ‘data controller’ and we will be the ‘data processor,’ as defined by the GDPR.

15.3 ‘Personal Data,’ ‘Processing,’ ‘Data Controller,’ ‘Data Processor,’ and ‘Data Subject’ will have the same meanings as in the GDPR.

15.4 We will process Personal Data only as reasonably required to provide our services.

15.5 We will not disclose Personal Data to third parties except to our employees, directors, agents, sub-contractors, or advisors on a strict ‘need-to-know’ basis.

16. Notice and Communication

16.1 All notices must be in writing and signed by the party giving the notice.

16.2 Notices are deemed to have been given: i. upon delivery to the other party; ii. if sent by email, upon proof of delivery or a read receipt; iii. The notice is deemed served on the day following receipt.

16.3 All notices must be sent to the most recent address, email, or fax number provided by the other party.

17. General

17.1 For any specific queries, please contact us directly at bookings@podinn.co.za. Neither podinn nor any party involved in creating, producing, or delivering this site is liable for any damages arising from accessing, using, or being unable to use this site.

18. Law and Jurisdiction

18.1 This Agreement is governed by the laws of South Africa, and any disputes shall be subject to the exclusive jurisdiction of the South African courts.


podinn Out of Office Terms & Conditions

The general terms & conditions above apply to all podinn Out of Office members, with the exception of clauses 7.2 to 7.5.

An “employee” is an individual who has received a voucher code for a podinn stay as part of their employment benefits. A “weekday stay” or “mid-week stay” is a stay checking in on a Sunday, Monday, Tuesday, or Wednesday. A “weekend stay” is a stay checking in on a Thursday, Friday, or Saturday.

1. Voucher Code Validity

1.1 The voucher code expires one year from the date of issue. It must be redeemed within this timeframe.

1.2 If an employee is added and paid for after the initial company onboarding, their voucher will be valid for one year from that date.

1.3 Each code is valid for one redemption.

1.4 The employee is responsible for paying any price difference if the stay falls on a public holiday.

2. Booking Restrictions

2.1 Working Week Escapes: The voucher code is valued up to the cost of a weekday stay. It may be used for a weekend stay, but the employee must pay the price difference.

2.2 Weekend Escapes: The voucher code is valued up to the cost of a weekend stay. If a mid-week stay is booked at a lower cost, the difference will not be refunded.

2.3 Non-transferable: Vouchers are non-transferable and can only be used by the individual named on the voucher.

2.4 Not Valid with Other Offers: Vouchers cannot be combined with other promotions, discounts, or loyalty programs.

2.5 Add-ons: The employee is responsible for the additional cost of any add-ons, such as a “dog extra” or “late check-out.” Add-ons may not be available at all pods.

3. Amendments Policy

3.1 You must contact us using the details in your booking confirmation to amend a booking.

3.2 Each employee is permitted one free amendment if the request is made at least 48 hours before the scheduled arrival date.

3.3 Amendments requested within 48 hours of arrival will cause the voucher code to expire.

4. Cancellation Policy

4.1 Our cancellation policy is 14 days before your scheduled arrival. Cancellations made more than 14 days in advance can be rescheduled for a future date once for free, or the voucher can be re-issued for a future stay (the expiration date remains unchanged).

4.2 Cancellations made between 14 days and 48 hours before arrival can be rescheduled for a future date once for free. You must reschedule within 24 hours of the email being sent to podinn. If you fail to reschedule within this time, your code will expire.

4.3 If you fail to arrive or provide at least 48 hours’ notice, the voucher code will expire and cannot be used for a future stay.

5. Refund Policies

5.1 Vouchers cannot be exchanged for cash.


podinn Memberships Terms & Conditions

The general terms & conditions above apply to all podinn members, with the exception of clauses 7.2 to 7.5.

1. Discount Code Validity

1.1 Upon joining, you will receive a discount code for 15% off any pod on any date. This code is valid for one year from your sign-up date.

1.2 The 15% membership discount code has unlimited redemptions.

1.3 Membership codes for new pods offer members 30% off during the first four weeks of launch, unless otherwise specified by podinn.

1.4 Membership codes are non-transferable and can only be used by the individual named on the membership. Codes may not be shared with friends, family, or on public forums. Bookings will be verified against the member’s email address to ensure the code is used only by the named individual.

1.5 Discount codes cannot be used with any other promotions, discounts, or loyalty programs unless we specify otherwise.

1.6 Discount codes do not apply to add-ons, which include (but are not limited to) a “dog extra,” “late check-out,” or “hampers.” Add-ons may not be available at all pods.

2. Cancellation and Amendment Policy

Memberships

2.1 Your membership is valid for one year from the date you join.

2.2 Memberships will auto-renew at the end of the one-year period.

2.3 To cancel your membership, you must email podinn. The cancellation will take effect at the end of the one-year term.

2.4 If you pay monthly, you cannot cancel your membership before the 12-month period if you have redeemed your discount code.

Bookings

2.5 Our booking cancellation policy is 14 days before your scheduled arrival. Cancellations made more than 14 days in advance can be rescheduled for a future date once for free, or you can receive a full refund.

Gift Voucher Terms & Conditions

  • Gift vouchers are valid for 12 months from the date of purchase.

  • Vouchers cannot be exchanged for cash.

  • Vouchers can be canceled and refunded within 14 days of the purchase date. A cancellation request must be made via email from the address associated with the purchase.
